Piedmont IT Advisors is led by its founder, Rhett Finklea, and run day-to-day by a team of AI agents working under his supervision. Piedmont IT Advisors is currently operated by Rhett Finklea as a sole proprietor. This policy explains what information Piedmont IT Advisors collects and what happens to it, including information submitted through this website — in plain language.

Who handles your information

Our agent team processes information only as needed for their roles, and Rhett supervises the team:

• Elliot Vance (Operations Agent) — coordinates operations and may handle your inquiry from start to finish.
• Marlow Sterling (Finance Agent) — runs the books: bookkeeping, cash-flow tracking, and monthly reporting. Sees the firm's financial records.
• Piper Calloway (Marketing Agent) — marketing: handles the waitlist and marketing content.
• Harlow Pierce (Sales Agent) — outreach: works with prospect contact information from public sources and campaign replies.
• Fiona Sloane (Executive Assistant Agent) — scheduling and correspondence.
• Lou Becker (Software License Agent) — license and spend audits; sees software inventory and billing data during an engagement.
• Sadie Wren (Documentation Agent) — writes documentation from engagement notes.
• Nadia Ferro (Web Dev and Design Agent) — maintains the website and user experience; she does not ordinarily handle inquiry information.

Agents use your information only for their assigned work. They may process it through the software services Piedmont uses for email, forms, bookkeeping, scheduling, and AI-assisted work. We do not submit confidential client files for AI-model training or keep them in an AI platform as the firm's official record. Where a platform provides a setting that prevents customer content from being used to train its models, we enable that setting. We never sell or share your information for marketing, ours or anyone else's.

What we collect

• Contact form: your name, company, email, phone number, what you're interested in, and your message — only what you choose to send us.
• Waitlist: your email address, if you join it.
• Free AI Evaluation: your name, company, email, and what you tell us about how your team works, so we can prepare the evaluation.
• Discovery-call booking: the contact and scheduling information you enter when booking a call.

If you email us directly, we keep your message and address so we can reply and follow up.

That's what you send us directly. The site's hosting provider, Cloudflare, keeps standard server logs, including IP address, browser information, and pages visited, to operate and protect the site. The site also loads fonts from Google, so your browser contacts Google and sends information such as your IP address. Our booking window and Free AI Evaluation form use Google services, which receive the information you enter and may collect technical information under Google's own privacy terms. Piedmont does not use website analytics or advertising trackers. The main Piedmont website sets no cookies of its own, although Google's services may use their own cookies or similar technology.

How we use it

We use this information to respond to inquiries and follow up about our services; schedule discovery calls; prepare a requested Free AI Evaluation; send program updates to people who join the waitlist; and operate, secure, and troubleshoot the website. You can leave the waitlist by replying to any waitlist email.

What we never do

• We never sell, rent, or share your information with third parties for marketing.

How it's stored

Contact-form submissions are delivered to our business email. Information submitted through Google's booking and evaluation services is also stored in those services under Piedmont's Google account. We keep information only as long as needed for the inquiry, engagement, ordinary business records, security, or another legitimate business need. Agent-handled information remains in Piedmont's systems and the software services used for the assigned work. We do not build advertising or marketing profiles about website visitors.

Your rights

Email us to ask what information you have shared with us, or to request a correction or deletion. We will respond as reasonably soon as we can. We may retain information when it is needed for ordinary business records, security, an active engagement, or a legal obligation. If we cannot complete a request, we will explain why.
